Guide · Preparing Your Document

Direct answer: send a clear scan of every page and both sides, say where the document is going, give the passport spelling of every name on it, mention any stamps it already carries, and state your deadline. Those five inputs decide most of the work.

1. Every page, both sides

Stamps, attestation stickers, and verification codes often sit on the reverse. A front-only photo is an incomplete document, and what is not in the scan is not in the translation.

2. The destination

A court, a notary, a ministry, an embassy, a bank, and a school each have their own expectations about format, attachments, and language. The destination decides how the translation is prepared — which is why “where is it going?” is our first question.

3. The passport spelling

The same name can be written several defensible ways in the other language, and only one of them matches the passport the file will be read against. Send the passport page, or state the exact spelling to anchor to.

4. Existing stamps

Which stamps the document already carries decides whether it is ready to translate, or whether an attestation step should come first.

5. The deadline

Turnaround is confirmed per job, after the document is read. If the date is fixed — a hearing, a visa appointment — say so at the start; it sometimes changes the recommended order.

What a good scan looks like

Flat, straight, in colour, all four corners in frame, legible at the smallest numbers. A phone photo is fine if it meets that bar. If a seal or a handwritten line is unreadable, expect to be asked for a better copy — guessing at a name or a digit is not a service.

Send the document and tell us where it will be used. We check the order before you pay.
